Booking Sports and Recreational Facilities Guide
The sporting facilities, the Pavilion, and surrounding grounds are for the exclusive use of Residents (owners or tenants) and their guests only. You are entitled to invite guests to use these facilities but must accompany the guests and stay with them; being in your house is not acceptable. Any owners who are non-resident (i.e. their property is let to tenants) are not able to use the facilities, except as a guest of a Resident.
The facilities include:
- Heated swimming pool
- Children's playground
- Tennis court and squash court
- Gym and sauna
- Table tennis room
- Barbeque
- Function room / party room
- Conference room
- Library
- Gardens with a creek running through
- Ponds and picnic areas
We obviously want everyone to enjoy the sports and recreational facilities but please consider other residents with regards noise levels. Please remember when using the Gym, that there is a residential flat within the same building and that sound travels to surrounding houses. One person using a sound blaster or TV at full volume can disturb surrounding neighbours. Headphones are always a considerate option.Guests are welcome to use the Gym and other facilities but only when visiting a resident who can confirm their permission to use such facilities.
A) Bookings for Sports Facilities
Bookings are required for the tennis court and squash court.
Bookings may only be made by adult residents using the book found on the table in the Pavilion entrance.
The following reservation conditions generally apply:
- Any resident who is in arrears with the payment of their quarterly levies, shall be ineligible to make a booking
- First come first served basis
- Any cancellations should be removed from the booking system as early as possible
- Bookings can only be made up to one month in advance. A booking made more than one month in advance is invalid and may be removed from the booking system
- No permanent bookings are permitted
- No bookings are permitted for a commercial purpose
- A booking for the purpose of a resident receiving pay for coaching shall be deemed to be for a non-commercial purpose
- The swimming pool cannot be booked
B) Bookings for Functions at the Pavilion or Picnic/Decking Areas
Residents need to complete the Facilities Booking Form which will be automatically forwarded to the Executive Committee Social Secretary. Upon confirmation of availability, the necessary security deposit is to be forwarded to the Executive Committee Social Secretary. The security deposit is a minimum of $400.00 cash per event but may be set at a higher amount by the Executive Committee. The number of persons attending a function at the pavilion cannot exceed 100 persons, unless the function is under the organisation/control of the Executive Committee.
We are very lucky to have such wonderful facilities and we do hope that your function is a very happy and successful one. We would please ask you to abide by the following terms and conditions which have been agreed to by the Residents of Zenith Garden.
Terms and Conditions
- Guests attending a booked function can utilise the pool on the understanding no glass, food or drinks are permitted in the pool area and the maximum number of guests utilising the pool, does not exceed 8 persons at anyone time. The pool however cannot be booked for a private function, whilst the sauna is not to be permitted to be used under any circumstances
- Pavilion bookings should not interfere with normal use of pool, playground and gardens by other Zenith Garden residents. These will remain as open access.
- Bookings are taken on a first come first served basis
- No bookings for teenage parties or events will be accepted
- A person making a booking for a 20th or 21st birthday party must engage a security guard (costs to be borne by person making the booking) to stand guard at the front access for the duration of the function. The person making the booking must provide the security guard (and the Executive Committee, if requested) with a list detailing the names of all invitees attending the function, which list must be in the possession of the security guard for the duration of the function.
- The number of person attending a function at the pavilion cannot exceed 100 persons
- No permanent (regular) bookings are permitted
- Bookings can be made up to 2 months in advance
- No bookings are permitted for a commercial purpose
- The booking resident is responsible for all guests and children while on the property and MUST be present on-site during the period of the function
- Children must be supervised at all times and under NO circumstances is the squash court or the upstairs area of the Pavilion to be accessed by persons attending functions.
- The tennis court is to be utilised for the purpose of playing tennis only and needs to be reserved as per the tennis court booking requirements. Any minors playing tennis need to be accompanied by an adult.
- The estate main security gate and/or the pedestrian gates must not be kept open. The front gate sensor must not be covered as this causes damage to the sensor. A deduction of $100 will be made from a booking deposit if this occurs. Calls to the booking resident’s home via the key pad can always be re-directed to a mobile phone if the resident is already in the Pavilion
- Booking residents are responsible for all guests parking; as guest parking is limited within the estate, booking residents are requested to ask their guests to park on Carnarvon Drive
- The Pavilion and Barbeque must be thoroughly cleaned immediately after use in accordance with the "Pavilion Function Check List"
- All furniture must be returned to its correct place after use
- Rubbish must be sorted into general, paper and bottles and placed in the Zenith Garden Pavilion recycling bins; any excess rubbish that does not comfortably fit in the Zenith Garden Pavilion bins MUST NOT be left in bags but must be taken away
Note: The bins designated for use by the tenants of the rental apartment are NOT to be used in any circumstances.
- If conduct or noise level unduly disturbs residents, the function will be closed. Conduct or noise levels shall be deemed unacceptable in the event of 3 or more residents formally lodging a complaint with the Social Secretary. In such an instance, a member of the Executive Committee shall issue a verbal warning. Should there continue to be conduct or noise complaint issues, then the Executive Committee shall order the function be immediately closed.
- Juke boxes are prohibited
- The Executive Committee may choose not to accept bookings for specified days or periods
- The Executive Committee may refuse a booking if they are not satisfied that the booking will not cause disturbance or damage
- Any breaches of booking terms or conditions by a person, may result in the Executive Committee withdrawing the right of that person to make future bookings. This will mean that the resident(s) cannot make any further facility bookings without the approval of the Executive Committee.
- Any resident who is in arrears with the payment of their quarterly levies, or administrative fees, or recoverable amounts due and payable to the Association, shall be ineligible to make a booking
- A minimum $400 CASH security deposit is required at the time of booking; this deposit will be retained if premises are left in an unsatisfactory state. If the Zenith Garden Executive Committee has to hire a cleaner due to unsatisfactory cleanup or if damage has been caused exceeding that amount, the booking resident is responsible for all additional costs incurred – this includes damage caused to the main entrance security gate. The deposit is refundable at the discretion of Zenith Garden Executive Committee.
- An additional $200 CASH security deposit is payable (i.e., total $600 deposit) where hire of the projector is required. Should any damage be incurred to the projector, then the Zenith Garden Executive Committee has the right to retain the total $600 deposit, or if the damage caused exceeds the amount, the booking resident is responsible for all additional costs. The deposit is refundable at the discretion of Zenith Garden Executive Committee.

- The use of squash, badminton and racquet ball racquets and balls/shuttlecocks is allowed. Note: There is to be no fitting of equipment to the court, nor any activities that could damage the court.

- Tai chi and yoga is also permitted.

- Lighting – switch located in tennis viewing room next to court

- Persons using the tennis courts up until 10 pm must immediately turn the lights out and leave the tennis courts as soon as practicable.
